summer with friends

Your family's privacy

What the friends beta collects and shares · Updated September 23, 2026

Information you give us

We store your account and household details, children's names and summer ages or birth dates, and the plans you save. You can optionally add school dates, grade, interests, contact information, and registration details, including medical information. We also store invitations and responses, circle memberships and visibility choices, messages and attachments, directory contributions, and service-interest feedback. New child photos are not collected, and children have no logins or email accounts here.

How we use it

We use this information to run your account, show and save your plans, coordinate the information you share, deliver account and invitation emails, respond to support requests, and improve the service. Sign-in cookies keep you logged in; your browser also remembers choices such as your browsing city. Security and hosting records can include IP addresses, request details, and device or browser information.

What your circles can see

You choose which of your children belongs in each circle. Approved members can see those children's visible camp possibilities, registrations, trips, and stated care needs or in-town plans for that summer. This includes existing plans and future updates; approved new members can see them too. Change your child selection at any time, hide individual plans or weeks, and choose whether to show a trip's destination. Newly added children do not automatically join existing circles. Simply viewing a camp does not share anything. Being in one circle does not make someone a member of your other circles.

Understanding app use

We record your most recent successful login, the number of successful logins since tracking began, and your most recent signed-in app activity. A private owner dashboard combines these with account setup and counts of saved plans, recorded registrations, circle participation, invitations and optional service interest to understand use and improve the app. This tracking does not record screen sessions, keystroke contents, page-by-page browsing history or medical details. Activity measurements are included in your household export and cleared when your household is deleted.

What stays out of circle views

Circle views exclude medical information, exact birth dates, school names, emergency contacts, home addresses, registration documents, payment details, and private notes or messages. School status can appear for visible weeks. Leaving a circle, hiding information, or blocking a family changes future access; it cannot recall copies someone already made. A general app invitation grants no access to your plans. Sending a circle invitation authorizes the recipient to join after verifying their email, choosing their children, and accepting. Share circle links only with families you want to include.

Other sharing and staff access

Your household can access its own private records. Administrators can access family records to operate the service, and assigned staff can access their assigned families. Separately permitted friend information does not grant staff access to another family's private profile. If you create a co-parent calendar link, anyone holding it can see the limited schedule until you revoke it. That link excludes medical details, contacts, messages, private notes, and information received from friends. Approved directory contributions and parent notes can be visible to directory readers.

Hosting, email, and protection

Vercel hosts the app, Neon stores the database, and Resend delivers email. These providers process the information needed for those services. Invitation emails include the inviter and invitation destination; account emails contain verification or recovery links. Ordinary notification emails direct you to sign in rather than include child medical details. Messages you send to support are also forwarded to Jake at jake@summerwithfriends.com with your name, email address and message text so he can reply by email. Images and stored profile details are not forwarded. Email replies do not appear in the app. Please do not include medical details, passwords or payment information in support messages. Medical fields, counselor notes, and camp-account credentials have additional encryption in storage. This does not mean every field is encrypted in the same way or that administrators cannot access it. The free beta does not collect payments.

Your choices and deletion

Edit profiles and export your household data in Family & settings. You can also request household deletion there: the app removes child and medical profiles, credentials, attachments, messages, and operational plans from its active records, disables the accounts, and removes owned sharing contributions. Financial and immutable authorization records, where present, retain references to a de-identified household; authorization records may include the recorded IP address and browser information. Received friends' private information is excluded from your household export.

Recovery copies and questions

Deleting active records does not immediately erase historical recovery copies or provider logs. The production database has a seven-day recovery-history window; separate recovery copies may also exist during maintenance. Contact Jake about access, correction, deletion, or a privacy concern, including information remaining in recovery copies. Please do not send medical details or passwords in that email.
